We are looking for an Executive Assistant to join our team. 

Your mission as an Executive Assistant  

As the Executive Assistant, you will provide high-level, strategic administrative support to the  senior executive and team support to cross-functional teams. You will be the right hand to our  leadership, ensuring seamless daily operations, robust communication across the organization,  and proactive management of executive priorities. Your role is pivotal in enabling the senior  executive to focus on high-impact decisions by handling detailed administrative tasks with  discretion, efficiency, and a proactive mindset. 

The role requires a close working relationship with other business units within Dhamana.

Responsibilities 

Executive Support  

Schedule & Communication Management 

  • Maintain, prioritize, and coordinate the executive’s calendar, ensuring optimal time  management; uphold confidentiality and handle sensitive information with the utmost  discretion. 
  • Proactively schedule appointments, meetings, and conference calls, balancing  conflicting priorities. 
  • Coordinate reminders and follow-ups for important events and deadlines.
  • Act as a primary point of contact for executive communications—screen emails, phone  calls, and correspondence, and respond on behalf of the executive when appropriate. 
  • Draft, edit, and proofread high-stakes documents, reports, and presentations with keen attention to detail. 

Meeting Coordination & Documentation 

  • Organize and manage executive meetings, including logistics, agenda preparation, and  venue/virtual setup. 
  • Prepare meeting materials, take detailed minutes, and track action items for timely  completion. 
  • Summarize key discussion points and decisions for internal distribution and record  keeping. 
  • Anticipate the needs of the executive by managing a variety of administrative tasks and  projects with a proactive approach.
  • Oversee the operational efficiency of the executive office, including maintaining  organized filing systems, managing confidential records, and implementing process  improvements.

Travel & Logistics 

  • Liaise with travel agents to plan, coordinate, and execute detailed domestic and  international travel arrangements (flights, accommodations, transportation, itineraries,  visas). 
  • Prepare travel expense reports, ensuring compliance with company policies and prompt  reimbursement. 

Stakeholder & Relationship Management

  • Serve as a liaison between senior executives and internal/external stakeholders  including board members, clients, partners, and vendors. 
  • Build and maintain robust relationships to ensure clear communication and a cohesive  workflow. 

Team Support 

  • Assist with the planning and execution of internal events, team-building activities, and  corporate initiatives. 
  • Coordinate logistics for off-site meetings, workshops, and training sessions. Provide  support during special projects, ensuring timely completion and quality results. 
  • Identify areas for administrative improvement and implement best practices to  streamline operations. Collaborate with team members to develop and refine standard  operating procedures. 
  • Provide dedicated administrative support to various departments and teams by  organizing schedules, managing documents, and coordinating office errands. 
  • Any other responsibilities that may be assigned to the job holder by the supervisor from  time to time. 

Knowledge, Experience and Qualifications required 

Knowledge 

  • Bachelor’s degree in business administration, Management or any other business related field from a recognized institution. 
  • Minimum of 3+ years of experience as an Executive Assistant or in a similar administrative support role within a fast-paced, dynamic environment. 
  • Proven track record in supporting senior-level executives and managing complex  schedules, communications, and travel logistics in an organization that operates to high  standards. 
  • Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook). 
  • Experience with collaboration and project management tools (e.g., Microsoft Teams,  Slack, Zoom, Asana, Trello).

  • Self-starter with a passion for creating lasting change in East Africa, demonstrated  through work experience in the region. 
  • Entrepreneurial mindset with the ability to work independently and manage time  effectively. 
  • Proven ability to manage multiple priorities, projects, and tasks simultaneously with a  high level of attention to detail. 
  • Ability to think on one’s feet and collaborate at all levels within and outside of the  organization. 
  • Ability to communicate clearly and professionally with executives, board members, and  stakeholders at all levels. 
  • Good time management skills. 
  • High degree of discretion, integrity, and confidentiality and attention to detail. 
  • Willingness to work for extended hours and flexibility and accountability.
